Property management in Kenya: what to track

The records every landlord should keep, from tenant details to repairs and deposits.

Tenant records

Keep each tenant's name, phone number, ID details, unit, move-in date, rent amount and deposit paid. Store the signed tenancy agreement with the record so you can find it when you need it.

Rent, invoices and arrears

Raise an invoice for every tenant each month, record each payment against it, and review arrears regularly. Small arrears are much easier to resolve than large ones.

Repairs and maintenance

Log every repair request with the date, the unit and who handled it. A clear log shows which units need recurring work and helps you budget for maintenance.

Deposits

Record each deposit when it is paid, along with the move-in inspection. When a tenant leaves, compare the unit's condition against those notes and document any deductions.

Occupancy

Know at a glance which units are occupied, vacant or on notice. Read our occupancy management guide for ways to reduce vacant months.

Keeping it in one place

Spreadsheets and notebooks work for a few units, but they become hard to keep accurate as you grow. NestGrid keeps tenants, invoices, M-Pesa payments, repairs and occupancy together, and gives tenants and caretakers their own access.

Frequently asked questions

Not necessarily, but software saves time once you are matching several payments a month, chasing arrears or managing more than one property.
